West Pitt Farm Booking Terms and Conditions

Reservations

Availability may be checked online at www.westpittfarm.co.uk or by telephone or email. Provisional reservations may be requested by telephone or e-mail and will be held for one day to allow coordination among groups etc. Firm reservations require a 30% deposit and may be requested online with payment by card. Alternatively, the deposit may be paid by cheque, by telephone with credit/debit card, or by online bank transfer; if any of these methods is used a completed reservation form must be with us within seven days of the reservation being made. Cheques should be made payable to West Pitt Farm Holidays. A firm booking will be established when we issue confirmation of receipt of payment.

The balance of payment together with security deposit is due 30 days before the start date of the booking. Our normal security deposits are: Carthouse, Farmhouse, Lake View, Willow Tree and Gate Lodge £150; Cider Press £100, Hayloft £75; however, in some circumstances we may require a larger security deposit at our sole discretion. If either of these payments is not received when due, we may cancel your booking without further liability to you. The security deposit will be refunded within one week following your stay providing the cottage is vacated on time in a clean and tidy condition, without any damage or breakages.

Cancellation

If, after making a reservation, the guest subsequently cancels for any reason, the full amount of the tariff remains due. Guests are advised to arrange their own insurance to cover this possibility. We will make every effort to relet the cottage and if successful will refund the amount we receive less a £25 administration charge. If for any reason we have to cancel a booking, our maximum liability will be limited to the amount paid for the booking.

Arrival and Departure

Arrival time is after 4pm and before 10pm on the first day of your booking. Departure time is no later than 10am on the last day of your booking; late departures may incur an additional charge.

Occupation

The cottages may be occupied only by the guests named on the booking form; visitors may not use the leisure facilities at West Pitt. We reserve the right of entry to the cottages at any time and to cancel the booking if additional guests stay in the cottages. All the cottages at West Pitt are non-smoking.

Cleaning & Damage

Guests are responsible for the timely return of the Cottages in a clean and tidy condition (including kitchen, cooker, oven etc) without damage or breakage upon departure. We request that you advise us as soon as possible of any breakages, spillage or damage. Payment of the security deposit does not limit your liability for repair of damage or additional cleaning.

Pets

Please check when making your reservation as to acceptability. A charge of £25 per week will be made for one dog. Out of respect for our other guests, please observe some common sense rules: always clear up after your dog; pets are not allowed on the furniture or beds and they must not be left alone in the accommodation for long periods. Please remove pet hairs from carpets before you leave.

Linen

Full bed linen and duvets are provided. Bath, hand towels in the bathrooms and tea towels for the kitchen are also provided.

Electricity

Electricity is included in the tariff for The Carthouse, The Farmhouse, Willow Tree , Cider Press and Gate Lodge; for the Hayloft and Lake View Cottage payment is by meter - £1 coins.

Water

Our own borehole provides fresh spring water to all the cottages.

Swimming Pool

The swimming pool is open from 9am until 9pm and is unattended. For the safety of all users, use of the pool is subject to the rules that are posted by the door; a copy is available on request.

Fishing

On all the lakes at West Pitt is included in your tariff. Night fishing is not permitted. Fishing equipment may not be taken into the cottages. A lockable storage room, with a bait fridge, is available for fishing equipment and other outdoor items.

Cyclists

A lockable storage room is available for bicycles. Bicycles may not be taken into the cottages.

Privacy Policy
 

West Pitt Farm Holidays will collect the personal details that you provide to us for the purposes of providing you with services and/or information. In providing such services and/or information to you we will only use your data in accordance with the terms of the following statement.

Information Collection and Use: Pulse8 collects information from our users at several different points on our website on our behalf. However, West Pitt Farm Holidays is the sole owner of the information collected. We will not sell, share, or rent this information to others.

Financial Information: West Pitt Farm Holidays does not store customers’ financial information.

Use of Cookies: (A cookie is a piece of data stored on the user’s hard drive containing information about the user. For instance, by setting a cookie on our site, a user would not have to log in a password more than once.) Usage of a cookie is in no way linked to any personally identifiable information while on our website. Once the user closes their browser, the cookie simply terminates. If a user rejects the cookie, they may still use our site.

Log Files: We use IP addresses to analyse trends, administer our website, track user’s movement, and gather broad demographic information for aggregate use. IP addresses are not linked to personally identifiable information. We may share aggregated demographic information with others. This is not linked to any personal information that can identify any individual person.

Links: Our web site contains links to other sites. Please be aware that West Pitt Farm Holidays is not responsible for the content or privacy practices of such other sites. We encourage our users to be aware when they leave our site and to read the privacy statements of every web site that collects personally identifiable information. This privacy statement does not apply to information collected third party websites.

Security: We take every practicable precaution to protect our users’ information. Access to personally identifiable information is restricted to those with a specific requirement for its use. We will always use information in accordance with the privacy policy in place when which that information was collected.
